Please Note: Duke Temporary Service employees may not work more than 900 hours during the fiscal year (July 1 – June 30).

Please complete the following steps:


Step 1: Onboarding Activities

You will get an email from SuccessFactors Onboarding with a subject line reading "Welcome to Duke! Pre-employment action required." Please read this email, click the link titled “Onboarding Portal”, and then enter the requested information. You must complete these activities immediately.

Note: Please check your spam/junk folder if you do not see the email.

  • Complete SuccessFactors Employee Activities in the Onboarding Portal, including tax forms, direct deposit, and part I of the Federal Employment Authorization I-9 form.
  • When you submit the employment activities in SuccessFactors you will get a confirmation screen. At that point you must submit your I9 documents to DTS.
  • DTS must verify the documents used to complete your I9 Employment Authorization form within 48 hours to finalize your hire and initiate payroll. You may email a copy of your Passport, Employment Authorization Card, and Birth Certificate to duketemp@duke.edu. For security reasons, do not provide your Social Security Card or Driver's License until you have been contacted by a DTS representative and given instructions on the correct procedure.

Please note:

  • The SuccessFactors website is not mobile friendly and must be completed on a desktop, laptop or tablet.
  • When you have completed this step, it can take up to 48 hours for you to show up as hired in our system and your DUID & NetID to be fully functional. You cannot proceed any further until step 1 is complete.

Step 2: Orientation

If your DUID & NetID have been activated, please complete the DTS New Hire Orientation. If you do not receive the registration confirmation email from Duke Learning Management System (LMS), please use the following link to access the required orientation:

  • Please log in using your NetID and multi-factor authentication. Learn more about the LMS here.
  • The Duke Temporary Service Orientation Course Number is 00146889
  • Once you complete your orientation, please send confirmation by clicking either the print acknowledgement screen & saving as a PDF document or click to send module completion to HR.

Failure to submit completion of the orientation module will result in possibly not being paid for the orientation. Payment is based upon your hourly rate, but the maximum rate of payment is $25.00 per hour.


Step 3: OIT Activation

Wait 24 hours, then call the Office of Information Technology (OIT) to create a password and activate your Duke account. As an added layer of security, you will need to enroll into the Multi Factor Authentication (MFA) process which will be part of your call with an OIT representative.

While on the phone with OIT, you will need your Duke Unique ID and NetID, which are listed above step one.

Please refer to the Duke@Work Self Service website for further instructions on the set up and use of the Multi-factor Authentication. If you have any problems with the password, contact OIT.


Step 4: DTS Identification Badge and Parking Instructions

DTS pays for your DTS identification badge. The location to get your ID Badge is Duke Clinic is 40 Duke Medicine Circle. A Parking Garage is located across from Duke Clinic at 302 Trent Drive. Please note that there is a $2/hour fee to park in the parking garage.

The DukeCard Office is in the Red Zone, basement level, room 04230 by the Medical Center Bookstore. The office hours are 9:00 am – 5 pm, Monday – Friday. The telephone number is 919-684-2273. You must take a copy of the ID Badge Form included above as an attachment with you to get your ID. Please enter the Clinic through the Visitor’s Main Entrance.

You have the option to upload a picture to the DukeCard website prior to visiting the DukeCard Office, but it is not a requirement. Please go to https://dukecard.duke.edu, click on the “Submit Photo” circle at bottom of screen and follow the directions to take a selfie. You will need to log in with your NetID, password and multi-factor authentication to upload your photo to the DukeCard Office. This may be done using a cell phone. **If you are working remotely, please disregard this step**

Please note that Parking and Transportation Services is located in this office also. You may purchase a parking permit here if needed. You must provide the make, model and license plate number of your vehicle.


Step 5: Duke@Work Access / Payroll Process

Please see the following online resources:

  1. Duke@Work: which provides instructions on how to log in to Duke’s self-service web site and how to enroll in multi-factor authentication which you must have in order to log in to the Duke system.
  2. Electronic Submission of Work Time: which tells you how to complete and submit your DTS timecard.
  3. DTS Biweekly Schedule: which includes time card due dates and pay dates. Please note, you may not have access to Duke@Work your first week of employment. If this is the case for you please be sure to manually keep a log of your time and email DTS your time so a time card can be created for you.

Please note: You will have two timecards for this first pay period - one timecard for DTS orientation on which you will record 2.5 hours for orientation and one timecard for your assignment on which you will record your hours of work.
