Children's Tuition Grant: Employee Eligibility

Determining Eligibility

The eligibility rules for this tuition grant program are complicated, and one important step in determining eligibility is to look in your Duke@Work account. If the Children's Tuition Grant Application link is visible in Duke@Work, then the programming logic has determined that you MAY be currently eligible to participate in the CTG program. If you do not yet meet the eligibility requirements for this program, the link will not appear. Having this link in your Duke@Work account is not a guarantee of eligibility for the Children's Tuition Grant program.

Please follow the directions below to determine if you have a visible Children’s Tuition Grant link:

  • Log into your Duke@Work account. You will need your Net ID and password.
  • Select the MyInfo tab, followed by the MyBenefits link.
  • Once the MyBenefits page opens, the link to the Children’s Tuition Grant (CTG) application may be visible in the “Manage Your Benefits” section of the page. See example below:

If you were hired prior to December 31, 1998 with Duke University or Duke Hospital and you do not see the CTG link, please send an email to ctgp@duke.edu. Please include your Duke Unique ID Number.

Note: An employee of Duke Regional or Duke Raleigh, for example, is not grandfathered for eligibility purposes.

You are eligible to participate in the Children's Tuition Grant Program if you:

  • Meet the established Duke payroll/benefits classifications to be eligible for benefits coverage (staff members scheduled to work at least 30 hours per week, a faculty employee holding a regular rank appointment who is receiving wages for Social Security purposes, or a faculty employee holding other than a regular rank appointment and classified as a full-time member of the faculty, who is receiving wages for Social Security purposes); and
  • Have at least five years of consecutive full-time service as a regular full-time employee during your current term of employment. You must remain in this employment status to maintain eligibility; and
  • Are actively employed in a full-time benefits-eligible status on September 1 for the fall semester; January 1 for the spring semester; and May 1 for summer school. Please note, you must also be actively employed at the time payment of this benefit is made.

For your child to be eligible for the fall semester, you must have completed five years of consecutive full-time service on or before September 1; for the spring semester, January 1; and for summer school, May 1.

Employees must also be either:

  • A current Duke University employee who has completed service credit while employed within the University or Medical Center, or
  • A Duke University, Duke Medical Center, or Duke Hospital employee hired prior to January 1, 1999 with no break in service (this group will retain tuition benefits even after transferring to the Health System.)

Note: An employee of Duke Regional or Duke Raleigh, for example, is not grandfathered for eligibility purposes.

Members of Local 77 who work within Duke University Health System are eligible for the Children's Tuition Grant Program benefit and have the same eligibility criteria as Duke University employees.

House Staff are not eligible for the Children's Tuition Grant Program. However, once a House Staff member moves into a regular faculty position, prior to any break in service, the continuous service date as House Staff is used for calculating eligibility for this program.

Eligibility can be verified through your Duke@Work account. If the Children's Tuition Grant Application link is visible in Duke@Work, then the programming logic has determined that you appear to be currently eligible to participate in the CTG program. If you do not yet meet the eligibility requirements for this program, the link will not appear. Since a status change (e.g., reduction in hours worked, rate of pay classification, transfer to another entity, or termination of employment) could affect eligibility, we are unable to confirm a staff member's future eligibility for this program.

If you were hired prior to December 31, 1998 with Duke University or Duke University Health System and you do not see the CTG link, please send an email to ctgp@duke.edu. Please include your Duke Unique ID Number.

Please follow the directions below:

  1. Log into your Duke@Work account. You will need your Net ID and password.
  2. Select the MyInfo tab, followed by the MyBenefits link.
  3. Once the MyBenefits page opens, the link to the Children's Tuition Grant application should be visible to eligible employees in the "Manage Your Benefits" section of the page.

After Retirement

To continue to be eligible to receive the Children's Tuition Grant after separation from service with Duke, you must meet all of the following criteria:

  1. You must have been eligible for the benefit at the time of retirement.
  2. You must be at least age 65 at retirement, or the sum of your age plus the years of service with the University must be equal to or greater than 75 based only on your most recent continuous service date.
  3. The separation must not have been due to disciplinary reasons.
  4. Your child must meet the Child Eligibility requirements.
  5. You must not be eligible for a similar tuition grant benefit from a subsequent employer.

Death of Employee

Your child would also be eligible for the tuition grant should you die while employed at Duke, if you were eligible for the grant at the time of death.

Losing Eligibility

If you terminate your employment with Duke, move into an ineligible classification, or decrease your work schedule, your eligibility will be affected. If you meet the service requirement, but then move to a part-time position at Duke, or to any other ineligible classification, including termination, prior to the payment of this benefit, you will lose this benefit. Also, Duke reserves the right at any time to change or terminate this program or your eligibility for benefits under the program.

Other Eligibility Issues (including transfers)

What happens if I transfer?

Employees hired prior to January 1, 1999 within Duke University, Duke University Medical Center, or Duke Hospital will retain the tuition benefit when transferring to the Duke University Health System (DUHS).

Employees hired as Duke University or Duke University Medical Center staff after December 31, 1998 will not retain the tuition benefit when transferring to the Duke University Health System (DUHS). However, if the employee transfers back to Duke University or Duke University Medical Center with no break in service, then all their full-time service as a Duke University or Medical Center employee will count towards meeting the 5-year eligibility requirement.

If I change to part-time status after meeting the service eligibility requirement, will I have my service eligibility immediately restored if I return to full-time?

Yes.

If I work full-time in a campus department but less than 52 weeks per academic year at the convenience of the University (campus positions for 9-10 months), am I still eligible at the end of the 5-year period?

Yes.

How does an approved leave of absence affect my eligibility?

The period of the leave is added on to the 5-year service requirement. Participation in the plan is suspended during a personal leave of absence, but will continue in the event of an approved long-term disability leave, family medical leave, military leave, or sabbatical.

What happens when both parents are eligible for the grant?

If both parents are eligible for the grant, the number of eligible semesters increases to 32, but the maximum grant level per employee remains the same as does the eight (8) semesters limit per child.
