How do I change my mailing address?

Please contact your manager or payroll rep to have them submit your personal data change requests using iForms. Instructions for using iForms and submitting online forms are included in documentation on the iForms Web Site. If your department has not yet begun using iForms, please contact the iForms team immediately at r-3@duke.edu.

How do I add/remove my spouse or children to my health care coverage?

If you experience a qualifying life event - such as a marriage, divorce, or the birth of a child - you may make changes to your health care, dental, vision, and reimbursement account options within 30 days of the event. Any change you make must be consistent with your qualifying event. For example, if you marry you may add your new spouse to your Health Care Plan, but you may not enroll in the Dental Plan if you had not been previously participating. For more information, please see our Life Events section.

How do I enroll in the Duke retirement plan?

Your Duke retirement plan is a 403(b) plan, which enables you to contribute to your retirement on a tax-deferred basis. In order to enroll in the plan, you must know how much you would like to contribute and where you would like your contributions invested (investment carriers and funds). You may enroll online by logging on to Retirement Manager.

Note: Eligible biweekly paid employees do not need to enroll in the Employees' Retirement Plan - participation begins automatically after certain conditions are met. Biweekly paid employees may also participate in the 403(b) plan through the Savings for Retirement Plan (see Enroll in your Duke Retirement Plan for details on how to enroll).

How do I change the amount that I am contributing?

You may change the amount you are contributing into your 403(b) retirement plan once per pay period. You may either contribute a percentage of your salary, a dollar amount, or enroll in the automated maximum program. The automated maximum program will calculate your maximum contribution for the year and adjust your deduction amount to reach that maximum limit. You may change the amount you are contributing by logging on to Retirement Manager.

Note: The Employees' Retirement Plan is paid for entirely by Duke. You do not have to contribute to this plan. 

How do I contribute to a new retirement vendor?

You may contribute to a new retirement vendor once per pay period by logging on to Retirement Manager.

How do I transfer funds between retirement vendors?

You may transfer your funds between investment carriers in your 403(b) retirement plan by contacting the investment carriers receiving the funds directly. For example, if you are transferring from Fidelity to AIG Retirement, contact AIG Retirement. They will send you appropriate paperwork and instructions. See a complete listing of all the investment funds offered to Duke employees. View investment carrier telephone numbers and website addresses.

How do I request a loan or withdrawal from my retirement vendor?

You may request a withdrawal from your 403(b) retirement plan by contacting your investment carrier(s) directly. There are some restrictions on when you are eligible to withdraw the contributions that you put into the plan. Please carefully consider all your options before you withdrawal money from your retirement plan. For more information, please visit Request a Withdrawal or Loan.

How do I change my beneficiary information?

Generally, you need to contact your Benefit Plan Provider to change your beneficiary. However, Duke Human Resources maintains beneficiary forms for the following two plans:
